SYC Refund Policy

The following is the Refund Policy of Springfield/South County Youth Club (SYC). Parents/guardians must agree to the refund policy as presented during the registration process to continue with online registration for any sport. Scholarship registrations follow the same policies as regular registrations. To qualify for a full or partial refund of registration fees, participants are required to complete the online Refund Request Form (RRF) found under “Contact Us” at www.sycva.com. All refund requests must be in writing, using this form. SYC reserves the right to change this policy at any time and to deny or approve a refund for any reason. We strive for consistency and fairness and will evaluate every request objectively. However, there may be circumstances, that we did not foresee when forming this refund policy that may require us to deny or approve a refund request or to change the refund policy. Once the completed form is received by SYC, refunds are granted within the guidelines and time frames listed below for each sport:

All Sports Programs

No refunds will be made for cancellations due to inclement weather, injuries, or other circumstances beyond our control.

 

Basketball (Rec)

Participants who submit the RRF prior to the close of on-time registration will receive a full refund of the registration fee minus a $15.00 administrative fee.

Participants who submit the RRF during the late registration period and prior to the date of the first scheduled game will receive a 50% refund of the registration fee.

NO REFUNDS will be issued to participants who submit the RRF after the date of the first scheduled game. Separate uniform refunds do not apply to this sport.

NO REFUNDS will be made for cancelations due to inclement weather, injuries or other circumstances beyond our control.

Basketball (County)

Participants who submit the RRF prior to the Rec on-time registration will receive a full refund of the SYC registration fee minus a $15.00 administrative fee.

Participants who submit the RRF during the late Rec registration period and prior to the date of the first scheduled County game will receive a 50% refund of the SYC registration fee.

NO REFUNDS of the registration fee will be issued to participants who submit the RRF after the date of the first scheduled game, and there will be NO REFUNDS of the County Club or Team Fees under any circumstances.

Cheer (Rec)

Participants who submit the RRF prior to the close of on-time registration will receive a full refund of the registration fee minus a $15.00 administrative fee.

Participants who submit the RRF during the late registration period and prior to the date of the Cheer Kick-Off Clinic will receive a 50% refund of the registration fee.

NO REFUNDS will be issued to participants who submit the RRF after the date of the Cheer Kick-Off Clinic.

NO REFUND will be considered until complete uniform set has been verified as returned.

NO REFUNDS will be made for cancelations due to inclement weather, injuries or other circumstances beyond our control.

Cheer (All-Star)

NO REFUNDS issued after registration.

Football (Tackle)

Participants who submit the RRF prior to the close of on-time registration will receive a full refund of the registration fee minus a $15.00 administrative fee.

Participants who submit the RRF during the late registration period and prior to the DRAFT will receive a 50% refund of the registration fee.

NO REFUNDS will be issued to participants who submit the RRF after the DRAFT.

NO REFUND will be considered until all issued equipment has been verified as returned.

NO REFUNDS will be made for cancelations due to inclement weather, injuries or other circumstances beyond our control.

Football (Tackle Pre-Season Camp)

Participants who submit the Refund Request Form (RRF) prior to JULY 1 will receive a full refund of the registration fee minus a $15.00 administrative fee.

Participants who submit the RRF after July 1 and prior to the scheduled first camp session date will receive a 50% refund of the registration fee.

NO REFUNDS will be issued to participants who submit the RRF on or after the scheduled first camp session date.

NO REFUNDS will be made for cancellations due to inclement weather, injuries or other circumstances beyond our control.

Football (Flag)

Participants who submit the Refund Request Form (RRF) prior to the close of on-time registration will receive a full refund of the registration fee minus a $15.00 administrative fee.

Participants who submit the RRF during the late registration period and prior to the DRAFT will receive a 50% refund of the registration fee.

NO REFUNDS will be issued to participants who submit the RRF after the DRAFT. 

NO REFUNDS will be made for cancelations due to inclement weather, injuries or other circumstances beyond our control.

Lacrosse

Participants who submit the Refund Request Form (RRF) prior to the close of on-time registration will receive a refund of the registration fee minus a $15.00 administrative fee.

Participants who submit the RRF during the late registration period will receive a 50% refund of the registration fee.

NO REFUNDS will be issued to participants who submit the RRF after evaluations for A-teams are completed.

NO REFUND will be considered until all issued equipment has been verified as returned.

NO REFUNDS will be made for cancelations due to inclement weather, injuries or other circumstances beyond our control.

Lacrosse Clinics

Participants who submit the Refund Request Form (RRF) up to 2 weeks before the clinic start date will receive a full refund of the registration fee minus a $15.00 administrative fee.

Participants who submit the RRF less than 2 weeks prior to the clinic's start date will receive a 50% refund of the registration fee.

NO REFUNDS will be issued to participants on or after the scheduled clinic start date.

NO REFUNDS will be made for cancelations due to inclement weather, injuries or other circumstances beyond our control.

POWERLIFTING

Participants who submit the Refund Request Form (RRF) before the end of on-time registration will receive a refund less $15 administrative fee. 

Participants who submit the RRF during late registration and before the first scheduled session will receive a 50% refund.

NO REFUNDS on or after the date of the first scheduled session.

NO REFUNDS will be made for cancelations due to inclement weather, injuries or other circumstances beyond our control.

Rugby (All Programs)

Participants who submit the RRF prior to the close of on-time registration will receive a full refund of the registration fee minus a $15.00 administrative fee.

Participants who submit the RRF during the late registration period and prior to the date of the first scheduled game will receive a 50% refund of the registration fee.

NO REFUNDS will be issued to participants who submit the RRF after the date of the first scheduled game.

Separate uniform refunds do not apply to this sport.

Soccer (Rec) Including U5 Cubs

Participants who submit the RRF prior to the close of on-time registration will receive a full refund of the registration fee minus a $15.00 administrative fee.

Participants who submit the RRF during the late registration period and prior to the date of the first game will receive a 50% refund of the registration fee.

NO REFUNDS will be issued to participants who submit the RRF after the date of the first scheduled game.

JEWELRY: For the safety of the soccer player, all items of jewelry are forbidden and must be removed prior to entering the field of play.  This includes: earrings, rings, belly rings, bracelets, watches, and necklaces; it also includes hair pieces, such as barrettes, bobby pins, hair beads and the like.  If it can come off, it should come off, except for medical bracelets or necklaces which must be  taped down.  Players will be inspected before the start of the game.  If a referee states you must remove jewelry to play, and you refuse, you WILL NOT be eligible to play and you will not receive a refund of any amount.

Soccer (Rec) Uniforms

Once the club has ordered the uniform, the uniform fee is non-refundable.

Pee Wee Kickers (Soccer)

Refund Policy

Participants who have paid the registration fee are subject to a $15 administrative fee when requesting to drop from the program up until one week prior to the first scheduled session.

NO REFUNDS will be issued to participants who submit the RRF during or after the week preceding the first scheduled session.

NO REFUNDS will be made for cancelations due to inclement weather, injuries or other circumstances beyond our control.

Soccer (Travel)

There are a few exceptional circumstances where participants may qualify for a refund or partial refund of Club Fees. Any participant meeting a criterion outlined below is eligible for a partial refund equal to a percentage of his/her annual Club Fee. A return of Team Fees may not be possible, as the team budget assumes a certain number of players on the roster. Families will need to discuss Team Fees with the team treasurer. Participants must understand that just because SYC returns some portion of Club Fees, it does not imply there will be an associated Team Fee refund, which would be a hardship on other team families.

ROSTER FAILURE In the rare event a participant has accepted an invitation to join a Travel team and has paid a portion of or all the club fee and due to SYC’s inability to form a full roster, the team does not participate in fall league play, the participant is entitled to a 100% refund of their payment. Fees may be adjusted if some services have been provided (e.g., if the team trained all summer before folding).

REGISTRATIONS FOR THE FULL TRAVEL SOCCER SEASON

Serious Injury or Family Relocation

Participants who submit the on-line Refund Request Form (RRF) on or before August 1st based on extended injury or relocation out of VA/MD/DC area (medical and/or relocation documentation required) will receive a full refund of the club fee paid thus far, less a $250 non-refundable deposit and will not be required to pay any remaining unpaid portion of the club fee.

Participants who submit the on-line Refund Request Form (RRF) on or before March 1st based on extended injury or relocation out of VA/MD/DC area (medical and/or relocation documentation required) will receive a 50% refund of the club fee paid less a $250 non-refundable deposit. In the event that the participant has opted for a payment plan and has not yet met the financial obligation of $250 non-refundable deposit plus 50% of the club fee, the participant will not be entitled to a refund and will be required to pay the remaining balance to meet the financial obligation of $250 non-refundable deposit plus 50% of the club fee.

Exceptions may be made on a case-by-case basis after review by the Soccer Committee, if the player is replaced easily and without further impact on the age group rosters. A net loss in the age group will result in no refund of fees and may require the payment of unpaid fees.

SPRING REGISTRATIONS FOR SPRING HALF OF THE TRAVEL SOCCER SEASON

Serious Injury or Family Relocation

Participants who register in the spring and submit the on-line Refund Request Form (RRF) on or before March 1st based on extended injury or relocation out of VA/MD/DC area (medical and/or relocation documentation required) will receive a full refund of the club fee paid thus far, less a $250 non-refundable deposit and will not be required to pay any remaining unpaid portion of the club fee.

Exceptions may be made on a case-by-case basis after review by the Soccer Committee, if the player is replaced easily and without further impact on the age group rosters. A net loss in the age group will result in no refund of fees and may require the payment of unpaid fees.

SOCCER CAMPS/CLINICS

Participants who submit the Refund Request Form (RRF) up to 2 weeks before the camp/clinic start date will receive a full refund of the registration fee minus a $15.00 administrative fee.

Participants who submit the RRF less than 2 weeks prior to the camp/clinic's start date will receive a 50% refund of the registration fee.

NO REFUNDS will be issued to participants on or after the scheduled camp/clinic start date.

NO REFUNDS will be made for cancelations due to inclement weather, injuries or other circumstances beyond our control.

SOFTBALL (REC)

Participants who submit the RRF prior to the close of on-time registration will receive a full refund of the registration fee minus a $15.00 administrative fee.

Participants who submit the RRF during the late registration period and prior to the date of the first scheduled game will receive a 50% refund of the registration fee.

NO REFUNDS will be issued to participants who submit the RRF after the date of the first scheduled game.

Separate uniform refunds do not apply to this sport.

TRACK AND FIELD (ALL REC PROGRAMS)

Participants who submit the RRF prior to the close of on-time registration will receive a full refund of the registration fee minus a $15.00 administrative fee.

Participants who submit the RRF during the late registration period and prior to the date of the first scheduled practice will receive a 50% refund of the registration fee.

NO REFUNDS will be issued to participants who submit the RRF after the date of the first scheduled practice.

The cost of the track pinnie is non-refundable.

Volleyball (Rec)

Participants who submit the RRF prior to the close of on-time registration will receive a full refund of the registration fee minus a $15.00 administrative fee.

Participants who submit the RRF during the late registration period and prior to the date of the first scheduled game will receive a 50% refund of the registration fee.

NO REFUNDS will be issued to participants who submit the RRF after the date of the first scheduled game.

Separate uniform refunds do not apply to this sport.

VOLLEYBALL (TRAVEL)

NO REFUNDS issued to travel volleyball participants after registration due to tournament and uniform expenses.
